Please note: This document sets out our general terms. Specific commercial terms are set out in the proposal, quotation or agreement for each engagement, which takes precedence. When we change this document, we update the date shown above.

This policy explains how MAHTECH SOLUTIONS handles cancellation and refund requests for software licences, subscriptions, custom development and related services.

Refund and cancellation terms for each engagement are defined in the specific quotation, proposal or agreement. Where those documents set out specific terms, they apply in place of this general policy.

Software licences

  • Before installation: if you cancel in writing before the software is installed and activated, the amount paid is refunded after deducting costs already incurred — such as requirement study, setup, data preparation, travel and third-party costs.
  • After installation and activation: licence fees, licence keys and Premium keys are not refundable.
  • Defects: our obligation for a reported defect is to correct it or provide a reasonable workaround, as described in our Terms of Service. A defect does not by itself create a right to a refund.
  • No refunds are given for change of mind, non-use of the software, or problems caused by the client’s own hardware, operating system, network, power supply, data or third-party software.

Because software licences are digital and, once installed and activated, cannot be returned in the same way as physical goods, any refund eligibility will be as stated in your licence agreement.

Subscriptions and annual licences

You may choose not to renew an annual licence or subscription at any time. The licence continues until the end of the period already paid for, and no pro-rata refund is given for the unused part of that period. Renewals are not charged automatically — a renewal only takes effect once you confirm and pay for it.

Custom software development

For custom projects, work is carried out according to an agreed scope and schedule. If a project is cancelled:

  • Work completed up to the date of cancellation, and any costs already committed, may be chargeable
  • The advance payment covers requirement analysis, planning and work started, and is not refundable once work has begun
  • Payments for milestones already completed are not refundable. Any amount paid in advance for milestones not yet started is first adjusted against work done and costs incurred, and only the remaining balance, if any, is refunded
  • Delivery of work-in-progress, and any rights in it, will be as set out in the project agreement

Support and services

Installation, configuration, training, data migration, support, version / feature updates and other services are not refundable once they have been performed or delivered. Amounts paid in advance for services not yet started may be refunded after deducting costs already incurred.

How to request a cancellation or refund

Send your request by email to MAHTECH SOLUTIONS with:

  • Your name and business name
  • The product or service concerned
  • Invoice or agreement reference
  • The reason for your request

We aim to acknowledge your request within 2 business days and to give you a decision within 15 days. Whether a refund is due is decided in line with this policy and your agreement.

Processing of approved refunds

Where a refund is approved, it will be processed to the original payment method or as otherwise agreed, normally within 15 business days of approval. Refunds are made only to the person or business that made the payment.
